Electric Utility Director <br />Project: City Hall HVAC System Renovation — Construction Services <br />LEONARD ENGINEERING PROJECT NO: JAL0000L01.00 <br />Subject: Outline For Professional Mechanical Engineering Services <br />Dear 1*&. Trewyn: <br />It is our pleasure to provide this proposal for professional services for the subject project, based on <br />our previous work, your May 8, 2000 letter, and our subsequent conversations. We propose to <br />provide the services outlined in this proposal through completion of construction, for a Lump Sum <br />Fee of 20,988. We propose a 20% or $4,200 Retainer Fee to initiate our services and to cover <br />work in process. We propose an $500 reimbursible budget for items such as plotting, reproduction, <br />and shipping costs. The attached invoice for the retainer shall be processed to initiate our work. <br />Accrued work will be reported and invoiced every month and shall become immediately due and <br />payable. Work shall not exceed this proposed amount unless specifically authorized in writing. This <br />contract shall be governed by ATTACHMENT A: PROPOSED TERMS AND CONDITIONS. <br />Extra Services shall be billed according to ATTACHMENT A, and shall include items not stated in <br />the scope of work. <br />An outline of the work items included in this proposal with an associated value of each item can be <br />found in ATTACHMENT B: WORK DESCRIPTION. Work can be added to or deleted from this <br />list as necessary to arrive at the final scope. SECTION C. CONSTRUCTION SERVICES apply <br />to this proposal. <br />Once the contract award has been made, we propose to represent the City during the course of the <br />construction. This includes the pre -construction meeting, the construction kick-off meeting and <br />weekly meetings through the ninety (90) calendar day construction period. We will also review the <br />contractor's technical submittals of specified equipment and materials for conformance with the <br />contract documents. As per our discussion, allowances were made for six (6) additional "critical site <br />visits" to cover most items which may need attention between our normal visits to the site. However, <br />if more meetings or site visits are necessitated by some unforseen course of the construction or <br />difficulties with the contractors, we propose to cover these items on an extra services hourly basis <br />for which we will obtain pre -approval from the City. <br />LEONARD ENGINEERING, LLC, 018 N.
