CITY OF COLTON AGENDA REPORT FOR COUNCIL MEETING OF FEBRUARY 21, 2006 TO: HONORABLE MAYOR AND CITY COUNCIL FROM: Jeannette Olko, Electric Utility General Manager SUBJECT: Award of Bid for Various Wood Poles and Crossarms to One Source Distributors in the Amount of $70,720.19 DATE: February 13, 2006 BACKGROUND: The City purchases various size treated wood poles and crossarms into Electric Stores inventory when the quantities on hand reach a pre -determined level, or when new development projects have been approved requiring the installation of new power poles in order to provide electric service. At this time, the Electric Utility has a requirement for various size wood poles and crossarms for new development projects, as well as to maintain inventory levels in the warehouse. DISCUSSION/ANALYSIS: On January 19, 2006, the Electric Department posted a Notice Inviting Informal Bids for various size wood poles and crossarms. Bid packages were mailed to six manufacturers and distributors of treated wood products. A Bid Opening was held at 2:00 P.M. on February 6, 2006 at the Electric Department Administrative offices. Two bids were received and evaluated. A Bid Analysis is attached showing the price and delivery quoted by each vendor. Each of the two vendors based their bids on "all or none', indicating the price quoted was good for the entire order only. The recommended vendor's price is underlined. ALTERNATIVES: None. FINANCIAL IMPACT: Wood poles and crossarms are purchased into Electric Stores inventory account number 520- 1500-154. and are charged to the appropriate budgeted account as they are put into service.
