CITY OF COLTON <br />AGENDA REPORT <br />FOR THE CITY COUNCIL MEETING OF FEBRUARY 21, 2006 <br />TO: HONORABLE MAYOR AND CITY COUNCIL MEMBERS <br />FROM: AMER JAKHER, P.E., PW DIRECTOR/CITY ENGINEER <br />SUBJECT: AUTHORIZE THE AWARD OF THE CERAMIC TILE PROJECT <br />FOR THE CITY HALL PHASE II PROJECT BY MEANS OF THE <br />INFORMAL BIDDING PROCESS TO CERAMIC TILE WORKS <br />DESIGNS, INCORPORATED, IN THE AMOUNT OF 29,235; <br />AUTHORIZE CITY ENGINEER TO APPROVE NECESSARY <br />CHANGE ORDERS NOT TO EXCEED TEN PERCENT OF THE <br />CONTRACT AMOUNT. <br />DATE: FEBRUARY 13, 2006 <br />BACKGROUND: <br />The City Hall Phase 11 Project is part of the approved CIP Projects for fiscal year 2005/2006. Once <br />complete this project will provide the Police personnel a new gym. A substantial amount of work <br />has already been completed for this project. One of the remaining tasks required for the completion <br />of the project is the installation of ceramic tile. Completion of this item is necessary before any <br />other finishing work can proceed. <br />ANALYSIS/DISCUSSION: <br />The project was budgeted at $311,000, thus all contracts for this project are required to be bid <br />formally. The formal bid process was initiated on January 18, 2006 when the project was <br />advertised. The bid opening was conducted on February 1, 2006. Staff did not receive any bid <br />proposals and requests authorization to award the contract by an alternative informal bid <br />procedure as stated in Purchasing Ordinance Section 3.08.090 (i). Staff has obtained two <br />informal bids from the following contractors: <br />1. Ceramic Tile Works & Designs, Incorporated $29,235 <br />2. Carpet & Tile $48,392. <br />Staff requests authorization to award the Ceramic Tile Project to the lowest bidder, Ceramic Tile <br />Works & Designs, Incorporated, in the amount of $29, 235.00. <br />ENVIRONMENTAL IMPACT: <br />
