CITY OF COLTON AGENDA REPORT FOR COUNCIL MEETING OF 01/16/07 TO: HONORABLE MAYOR AND CITY COUNCIL FROM: KENNETH RULON, CHIEF OF POLICE SUBJECT: AWARD A CONTRACT FOR POLICE VEHICLES FOR THE POLICE DEPARTMENT TO MOSS BROTHERS DODGE IN AN AMOUNT NOT TO EXCEED $28,459.06 DATE: Dec 1, 2006 BACKGROUND: At the City Council meeting of 6/20/06, the City Council approved the Budget for fiscal year 2006/2007. In the budget, funds were allocated from the General Fund for the purchase of police vehicles to replace vehicles in the police department fleet that are no longer suitable for law enforcement purposes due to excessive mileage and wear and tear thus rendering them unsafe. DISCUSSION/ANALYSIS: The Police Department has identified police units that are in need of replacement in Administrative Services and/or Detective Division. Replacement is needed for two units that were taken out of service due to excessive mileage, wear and tear, excessive down time due to constant repairs, and the mounting cost of constant repairs. The two units will be sold at auction. It is anticipated the units will be sold for a combined total of approximately $6,900.00 which will be returned to the general fund. Moss Brothers Dodge has submitted a quote for the purchase of the following vehicle: General Fund Budget Purchase: (1) 2007 Dodge Durango (unmarked units)- $28,459.06 Section 3.08 .140 © of the City's Purchasing Ordinance allows the City to enter into agreements with other agencies for the purchase of supplies, services and equipment. In such instances, the procedures of that agency shall satisfy all city requirements for the bid and award those purchases. The City of Colton can piggyback onto the City of Corona bid #RFQ 07-248DV for the purchase of one Dodge Durango. This will save the city the cost of a final bid process and allow us to take advantage of current pricing as well as the volume discount afforded to Moss Brothers Dodge. FINANCIAL IMPACT: Funds to purchase and outfit the vehicles were approved and adopted in the 2006/2007 budget. $ 28,459.06 from the General Fund #100-6070-6071-4910 ENVIRONMENTAL IMPACT: None ITEM #17
