VEGA, FINANCE DIRECTOR -, <br />SUBJECT: AUTHORIZE THE PURCHASE OF WORKSTATIONS FROM ADAIR OFFICE FURNITURE IN <br />THE AMOUNT OF $12,048.71 <br />DATE: JULY 16, 1996 <br />BACKGROUND <br />The Finance Department -Customer Service division budgeted funds in the 1995-96 fiscal year for equipment <br />purchases. On May 30, 1996 bid prices were received ,from RE'NU Office Systems, Inc, and Adair Office <br />Furniture. The bids were in accordance with the purchasing policy and the City Manager authorization of the <br />$5,000 limit. Adair was the lowest price per workstation. Therefore, the Finance -Customer Service workstations <br />were ordered from Adair and received in June 1996 for a total cost of $4,800. <br />DISCUSSION/ANALYSIS <br />In the 1996-97 fiscal year budget the City Council approved the positions of Assistant Personnel Director, Legal <br />Assistant and Contract Administrator. Funds were appropriated for salaries/benefits and office furniture. Over the <br />period of June 18 through July 12, 1996, the City Attorney, City Manager and Personnel Director submitted <br />requests for purchase of workstations. <br />Since the City had previously solicited bids for workstations, determined that Adair Office Furniture was the lowest <br />bidder and satisfied the need to promote local business (there are no local business which offer this type of <br />product) the workstations were ordered. However, as stated previously, the City Manager's purchasing <br />authorization limit is $5,000 and the combined purchase requests from the three departments total $12,048.71 for <br />the 1996-97 fiscal year. <br />FINANCIAL IMPACT: <br />Funds are budgeted in the 1996-97 fiscal year, account nos. 01-1201-93, City Manager; 01-1401-93, City Attorney <br />and f Pers el/Risk Management. <br />Malik Freeman, City Manager Julie Biggs, City Attorney Gracie Fernandez Harmon, Personnel <br />Staff recommends that the City Council authorize the workstation purchases from Adair Office Furniture in the <br />amount of $12,048.71. <br />ITER NO. 11 <br />
