CITY OF COLTON <br />EXECUTIVE SECRETARY <br />DEFINITION: <br />To perform a variety of highly responsible secretarial and administrative duties for the City <br />Manager within the City. <br />DISTINGUISHING CHARACTERISTICS• <br />This class is distinguished from the Administrative Secretary class by the more complex, <br />responsible and sensitive duties related to providing administrative and secretarial support to the <br />City Manager, in addition to the Redevelopment Manager and City Attorney. <br />SUPERVISION RECEIVED AND EXERCISED• <br />General supervision is provided by the City Manager; may exercise functional and technical <br />supervision over lower level clerical staff. <br />EXAMPLES OF DUTIES,• Duties may include, but are not limited to the following: <br />Perform a wide variety of complex, responsible and confidential duties for the administrator; <br />screen calls, visitors and mail; interpret City policies, rules and regulations in response to inquiries <br />and complaints; refer inquiries as appropriate; independently respond to letters and general <br />correspondence; compose correspondence and reports; make travel arrangements, maintain <br />appointment schedules and calendars and arrange meetings, conferences and civic functions; <br />inform City Manager of pertinent legislation, news events and other related matters; take and <br />transcribe oral dictation from shorthand notes or dictating machine; operate office equipment; <br />type and assemble reports, manuals, newsletters and other materials and distribute to staff; write <br />and prepare reports and various materials for Council meetings; prepare preliminary budget; <br />process Request for Payments; and monitor budgets; type agreements, contracts, ordinances, <br />resolutions, legal documents, MOU's, Skelly letters and reports; research, compile and analyze <br />data for special projects and various reports; and perforin related duties as assigned. <br />EXAMPLE OF DUTIES: <br />Knowledge. <br />English usage, spelling, grammar and punctuation; modern office methods, procedures and <br />equipment; letter and report writing; organization, procedures and operating details of the <br />City. <br />Ability: <br />Understand the organization and operation of the City and of outside agencies as <br />necessary to assume assigned responsibilities; communicate effectively, both orally and in <br />writing; interpret and apply administrative policies, laws and rules; type at a speed <br />necessary for adequate job performance; take dictation at a speed necessary for adequate <br />job performance; work independently in the absence of supervision; analyze situations <br />carefully and adopt effective courses of action; compile and maintain complex and <br />
