5d <br />CITY OF COLTON <br />ADMINISTRATIVE SECRETARY <br />PAGE 2 <br />QUALIFICATIONS <br />Knowledge of: <br />Standard office administrative and secretarial practices and procedures, including business <br />letter writing. Operation of common office equipment, including a word processor and a <br />personal computer. Basic organization and function of public agencies, including the role <br />of an elected City Council and appointed boards and commissions. Basic budgetary <br />principles. Record keeping, report preparation, and filing methods. Correct English <br />usage, including spelling, grammar, punctuation, and vocabulary. Standard business <br />arithmetic. Basic supervisory principles and practices. <br />Ability to: <br />Provide varied, responsible, and often confidential secretarial and office administrative <br />assistance to top level management and administrative staff. Use initiative and <br />independent judgment within established guidelines. Use tact, discretion, and prudence in <br />establishing and maintaining effective working relationships with those contacted in the <br />course of the work. Analyze and resolve office administrative situations and problems. <br />Research, compile and summarize a variety of informational materials. Compose <br />correspondence independently or from brief instructions. Type at a rate of 50 net words <br />per minute from printed copy. Organize work, set priorities, meet critical deadlines, and <br />follow up on assignments with a minimum of direction. Plan, assign and review the work <br />of a small clerical support staff. <br />Note: <br />Specific positions may require ability to take dictation by hand or stenographic machine at <br />a rate of 80 words per minute and transcribing it accurately. <br />Other Renrrirements: <br />Specific positions may require a valid California driver's license and a satisfactory driving <br />record. <br />A typical way of gaining knowledge and abilities outlined above is: <br />Equivalent to graduation from high school and four years of responsible secretarial or <br />office administrative experience.
