This system utilizes <br />the department's existing computer system, is expandable, and as it is not specific to the <br />City Clerk's Office, could be expanded to other departments. Questys is a Registered <br />Trademark of DMC. All rights are reserved. <br />Questys' most prominent characteristic is the speed of database search: A fraction of a <br />second per word in search specification for a database of any size. One 5.25 optical disk <br />can hold the equivalent of about 30,000 to 35,000 pages; i.e., 25 years of minutes or - 4 - <br />four drawer file cabinets. Once these records are scanned onto an optical disc imaging <br />system, they are unalterable. Records are easily accessible by computer using keywords in <br />a full text search/retrieval. An image of the document may be sent electronically, printed <br />or just viewed for information. There is no risk of damage to the original document. All <br />this can be done in a matter of seconds. <br />Staff have reviewed the proposal with Finance Director Anna Vega and Information <br />Services Coordinator Sitt Siphomsay who assured us that the system is compatible with <br />our existing hardware and hardware price is comparable to what is available on the open <br />market. <br />As an enhancement to public service, Questys allows for future Public Access via modem <br />to City Records and information. We plan to have a terminal on our public counter so that <br />citizens may access public information documents. <br />DMC has installed numerous systems for clients from the government and industry <br />worldwide. The quality of its products is evident in awards won by its clients. Amongst <br />them are the City Clerk's Association of California President's Award for Distinction, the <br />William Olsten Distinguished Achievement Award for Records Management, and the 1993 <br />and 1996 Records Management Award of the International Institute of Municipal Clerks <br />The following government agencies have purchased Questys within the last twelve months: <br />City of Corona, City of Pasadena, City of Escondido, Kern County,, City of San Gabriel, <br />County of Butte, City of Ft. Pierce in Florida, City of Atlantic Beach in Florida, and <br />Missouri City in Texas. <br />We have made a studied effort and believe that the Questys Text and Image Management <br />System best addresses the needs of the City of Colton. Attached, for your review, is an <br />overview of the features and capabilities of Questys. <br />
