CITY OF COLTON <br />SENIOR POLICE SERVICES CLERK <br />DEFINITION: <br />Under the general supervision of the Police Lieutenant, lead, oversee, review and perform work <br />activities and duties assigned to the clerical unit of a division; assume responsibility for the more <br />difficult and complex tasks; perform other related tasks as necessary. <br />DISTINGUISHING CHARACTERISTICS: <br />The Senior Police Services Clerk is a single position class responsible for providing clerical <br />support to an entire Police Division. This classification is distinguished from the next lower <br />classification of ]Police Services Clerk II by leading and directing the clerical support for an <br />entire division. <br />SUPERVISION EXERCISED: <br />May exercise technical and functional supervision over lower level staff. <br />ESSENTIAL FUNCTIONS: (include but are not limited to the following) <br />• Lead, oversee; review and perform the clerical support work for a division, including both <br />confidential and non -confidential material. <br />• Manage Detective case tracking system for case assignment and clearance; track various <br />crime -related data for filing deadlines, trends, or progress; generate data searches and/or <br />analytical, statistical, or tabulation reports as required. <br />• Input crime -related data; research and compile complex statistical data for special projects <br />and reports. <br />• Type reports, forms, memoranda, correspondence to courts, verbatim interviews, search <br />warrants, affidavits and other materials from straight copy; transcribe oral dictation. <br />• Compose letters and reports on routine matters using correct sentence structure, grammar and <br />spelling. <br />• Oversee division filing and record-keeping responsibilities. <br />• Check reports, records and other data for accuracy, completeness, and compliance with <br />established procedures and standards. <br />• Manage document filing and retrieval system. <br />• Screen phone calls and visitors, referring inquiries to appropriate individual as necessary. <br />• Deal with confidential informants, criminal suspects, and/or crime victims. <br />• Obtain information correctly and route messages to correct person or appropriate local, state <br />and/or federal agencies. <br />• Act as liaison between the supervisor or detectives and the public or other employees. <br />• Make appointments and travel arrangements for conferences, meetings and 'classes. <br />• Maintain monthly and yearly calendars. <br />• Respond to questions and concerns from the general public; provide information as is <br />appropriate and resolve service complaints. <br />• Respond to requests for information regarding departmental policies and procedures. <br />• Evaluate assigned work projects; estimates time, materials and equipment necessary for the <br />successful completion of the project acquire necessary resources as is appropriate. <br />
