GARCIA, CITY MANAGER " (� <br />FROM: AL HOLLIMAN, FINANCE DIRECTOR <br />SUBJECT: AWARD OF BID FOR PICK-UP TRUCKS FOR THE STREET AND PARK DIVISIONS <br />TO REYNOLDS BUICK IN THE AMOUNT OF $18,640.75, PERSON FORD IN THE <br />AMOUNT OF $28,741.80 AND CREST CHEVROLET IN THE AMOUNT OF $44,527.30 <br />DATE: NOVEMBER 30, 1999 <br />BACKGROUND <br />The City Council approved five vehicles for the Street and Park Divisions in the FY 99-00 fiscal year <br />budget. These include the purchase of one compact and two % ton pick-ups for the Street Division, and <br />one compact and one % ton pick-up for the Park Division. <br />DISCUSSION/ANALYSIS <br />On November 4, 1999, Purchasing solicited sealed bids for these vehicles. The bid opening was held at <br />2:30 p.m., November 23, 1999, in the Purchasing office. Nine bids were received and evaluated. <br />Attached is a Bid Analysis listing the price and delivery quoted by each vendor. The recommended <br />vendor's price is underlined for each vehicle. The recommendation is based on the lowest price that <br />meets or exceeds the City's specifications. <br />ALTERNATIVES <br />None <br />FINANCIAL IMPACT <br />Council appropriated the funds in the FY 99-00 budget for the Park Division in account number 100-6200- <br />6205-4910 and the Street Division in account number 100-6150-61604910. The Street Division's <br />vehicles are approved for a lease purchase in the budget. <br />City Council will consider taking action to approve a tax-exempt Master Lease at tonight's Council <br />Meeting. The lease will provide financing for certain equipment and vehicles which will be paid first from <br />City funds and then the City will be reimbursed by the lease. The lease will be competitively bid to get the <br />best interest rate and all equipment and vehicles added to this lease will be subject to Council approval at <br />the time of purchase. <br />ENVIRONMENTAL IMPACT <br />None <br />RECOMMENDATION <br />Staff recommends award of bid for these vehicles to Reynolds Buick in the amount of $18,640.75, Person <br />Ford in the amount of $28,741.80 and Crest Chevrolet in the amount of $44,527.30. Staff also <br />recommends approval to add the above three vehicles for the Street Division to the Master Lease in the <br />amount of $57,290.16. <br />Report prepared by: Mary J.
