CITY OF COLTON
AGENDA REPORT
FOR COUNCIL MEETING OF JANUARY 18, 2000
TO: Honorable Mayor & City Council
APPROVAL: Henry Garcia, City Manager'
FROM: Tom Hendrix, Fire Chief
SUBJECT: Proposed Travel Cost Over $1,000 Per Person For
Conference Attendance
DATE: January 10, 2000
BACKGROUND:
In accordance with City Policy, this request is being submitted for training/travel
expenses which shall exceed $1,000 per traveler. Attendance is in the best interest of
the City and will provide an excellent educational opportunity.
DISCUSSION/ANALYSIS:
Response statistics are used to assist in the decision making process, as well as
informing the public, the City Council, and City staff about Fire Department activities.
Currently, response data is stored in the computer aided dispatch system, which is
used to dispatch and track Fire Department resources. Data is also stored locally in
the Fire Department's database. The configuration of both of these systems has
resulted in slow data retrieval and insufficient retrieval options. In many cases, manual
analysis and calculations are necessary to arrive at the desired statistical information.
The Confire Joint Powers Authority (JPA), which provides dispatch and computer
services to the Fire Department, is in the process of upgrading and integrating the
Records Management System (RMS) into a more practical and sophisticated
information base to be utilized by member jurisdictions. In order to improve the timely
retrieval of data, as well as to increase the number of retrieval options, the Fire
Department purchased "Crystal Reports", a software package by Seagate Software
Corporation.
Seagate Software offers certified training on the Crystal Reports Program. The Fire
Department is requesting Council approval to send our Administrative Secretary and
the Records/Reports Battalion Chief to the next class, on January 31" and February 1,
2000, in Newport Beach. This is the closest location offered.
Item #8
