CITY OF COLTON Item #6 <br />AGENDA REPORT <br />FOR CITY COUNCIL MEETING OF JULY 16, 2002 <br />TO: HONORABLE MAYOR AND CITY COUNCIL MEMBERS <br />FROM: DILU DE ALWIS, FINANCE DIRECTOR <br />SUBJECT: AWARD A TWO-YEAR CONTRACT FOR THE PRINTING AND DISTRIBUTION OF <br />THE COMMUNITY BROCHURE FOR THE PARKS, RECREATION AND FAMILY <br />SERVICES DEPARTMENT TO PRINTING & PROMOTIONS PLUS, INC. IN AN <br />APPROXIMATE ANNUAL AMOUNT OF $37,000. <br />DATE: <br />JULY 8, 2002 <br />BACKGROUND <br />The Parks, Recreation and Family Services Department sends out a quarterly brochure to the community to inform <br />them of upcoming events and services provided by the City <br />DISCUSSION/ ANALYSIS <br />On June 20, 2002, Purchasing solicited proposals from nine vendors for a two-year contract for these services. The proposal <br />due date was 10:00 a.m., July 2, 2002. The following two proposals were received and evaluated for 20,000 copies of a 16 - <br />page brochure, which is printed and distributed quarterly. <br />VENDOR: ANNUAL AMOUNT <br />1. Printing & Promotions Plus $ 27,752 <br />2. Pages Design & Type $ 30,144 <br />The quantities and number of pages may vary each quarter. The Parks, Recreation & Family Services Department has <br />budgeted $37,000 annually for these services. Staff is recommending that the City Council make an award to the lowest bidder, <br />Printing and Promotions Plus, based on the above two proposals. Printing and Promotions Plus, Inc. has printed and distributed <br />the Community Brochure for the past two years. <br />ALTERNATIVES <br />None <br />FINANCIAL IMPACT <br />Funds are available in the Parks, Recreation and Family Services department operating expense account number 100-6200- <br />6202-2301 <br />ENVIRONMENTAL IMPACT <br />None <br />RECOMMENDATION <br />Staff recommends the Council award a contract to Printing & Promotions Plus, Inc. for printing and distribution of the Community <br />Brochure for a two-year period in an approximate annual amount of $37,000. <br />J.
