Item #7 <br />CITY OF COLTON <br />AGENDA REPORT <br />FOR CITY COUNCIL MEETING OF <br />JUNE 4, 2002 <br />TO: Honorable Mayor and City Council Members <br />FROM: Dilu de Alwis, Finance Director <br />SUBJECT: Change Order to PO 51886 — McGladrey & Pullen LLP in the amount of <br />$10,000. <br />DATE: Mav 28. 2002 <br />The City is audited each fiscal year by an independent certified public accounting firm. On March 22, 2001 the City <br />Council awarded a contract to McGladrey & Pullen LLP for audit services, and the City thereafter authorized performance <br />of the services for the fiscal year ending June 30, 2001. <br />DISCUSSION/ ANALYSIS <br />In response to RFP's and upon staff recommendation, the City Council awarded a professional services agreement to <br />McGladrey & Pullen LLP for audit services beginning with the 2001 fiscal year for $47, 900. During the audit process and <br />per staff requests, McGladrey & Pullen LLP performed additional tasks that were beyond the scope of services prescribed <br />to in the RFP. These tasks included, prior period adjustments, review of Preliminary Official Statements and printing of <br />the Comprehensive Annual Financial Report etc. In a staff report to Council on May 7, 2002, staff informed Council that <br />McGladrey & Pullen requested a change order of $25,140. However staff has negotiated this request down to a <br />reasonable amount of $10,000 for the tasks that were beyond the scope of services. <br />ALTERNATIVE <br />Reject the request for a change order and direct staff to involve City Attorney to negotiate a settlement for the change <br />order request. <br />FINANCIAL IMPACT <br />Funds for this change order are available in the current fiscal year budget in the following accounts: <br />520-8000-8000-2350 - $ 2,500 <br />521-8100-8101-2350-$ 2,500 <br />522-8200-8200-2350 - $ 2,500 <br />100-6040-6041-2350 - $ 2,500 <br />ENVIRONMENTAL IMPACT <br />None <br />
