CITY OF COLTON Item #10 <br />AGENDA REPORT <br />For City Council Meeting of May 21, 2002 <br />TO: Honorable Mayor and Members of the City Council <br />FROM: Dilu deAlwis, Finance Director Uk- <br />SUBJECT: Approval to purchase servers from Dell Computer and Oracle software from <br />DLT Solutions for the work order management system <br />DATE: May 13, 2002 <br />BACKGROUND <br />On April 16, 2002, the City Council awarded a contract to Synergen, Inc. for the purchase and implementation <br />of a computerized work order management system. Before installation can take place, the purchase of <br />additional servers and Oracle database software is required. <br />DISCUSSION/ANALYSIS <br />The additional servers will be dedicated to the work order management system application, thus ensuring <br />reliability and integrity in the event that the network goes down. The servers will be purchased from Dell <br />Computer Company in accordance with City standardization of computer systems. Currently, the work order <br />system runs on the Oracle database platform, so purchase of this software is required. Colton Municipal Code <br />Section 3.08.140 (c) allows the City to waive competitive bidding when it is determined that the public <br />interest would not be best served by competitive bidding. Staff believes the public interest would not be best <br />served because the City would not be able to obtain the same discounted price from any other Oracle software <br />dealer. The Oracle software being purchased from DLT Solutions through Oracle Corporation gives the City a <br />50% discount. <br />ALTERNATIVES <br />None. <br />FINANCIAL IMPACT <br />The cost of the two additional servers from Dell Computer is $11,648.00 each; with tax, the amount is <br />$25,101.44. The cost of the Oracle database is $23,004.63, and will be purchased from DLT Solutions <br />through Oracle. The funds for this purchase is available in the Electric, Water, and Wastewater enterprise fund <br />account number 520 -8000 -8001 -4900 -000,521-8100-8100-4900-0000-000,522-8200-8200-4900-0000-000. <br />
