CITY OF COLTON <br />AGENDA REPORT <br />FOR COUNCIL MEETING OF AUGUST 5, 2003 <br />TO: HONORABLE MAYOR AND CITY COUNCIL <br />/ <br />FROM: DILU DEALWIS, FINANCE DIRECTOR <br />Item #7 <br />SUBJECT: AWARD OF CONTRACT FOR THE PURCHASE OF TREES ON <br />AN AS NEEDED BASIS FOR THE PUBLIC SERVICES <br />DEPARTMENT PARKS DIVISION TO GREEN EARTH <br />NURSERY IN THE AMOUNT NOT TO EXCEED $55,556.98. <br />DATE: <br />JULY 28, 2003 <br />BACKGROUND: <br />On May 27, 2003, the Purchasing Division advertised for sealed bids for an annual <br />contract for the purchase of various trees. The Parks division and Electric Utility <br />department have coordinated a tree planting program to help reduce the electrical <br />consumption and beautify the City of Colton. <br />This contract will be for the period of four years beginning with the fiscal year 2003/04 and <br />ending in the fiscal year 2006/07, and all items will be purchased on an "as required" <br />basis. The quantities of trees to be purchased and planted were estimated. <br />DISCUSSION/ANALYSIS: <br />Purchasing mailed eight bid packets to vendors. The bid opening was held at 2:30 p.m., <br />June 16, 2003. Two bids were received and evaluated by the Purchasing Division. The <br />bids received were as follows: <br />VENDOR: <br />1. Green Earth Nursery <br />TOTAL CONTRACT AMOUNT <br />$ 56,556.02 <br />$ 55,556.98 <br />Staff is recommending award of contract to Green Earth Nursery for four consecutive <br />years for a period of one year at a time. <br />FINANCIAL IMPACT: <br />Funds are available in the Electric Department Public Benefit Account Number 520-8000-8037- <br />2301-0921-000. <br />ENVIRONMENTAL IMPACT: <br />This project will not only reduce Electric consumption for the City of Colton but also <br />provide City Beautification. <br />CONFLICT OF INTEREST — Gift Disclosure Requirements <br />Green Earth Nursery <br />President: Paul Pendleton, Owner <br />Contact: Paul Pendleton <br />
