Item #6 <br />CITY OF COLTON <br />AGENDA REPORT <br />FOR CITY COUNCIL MEETING OF JANUARY 21, 2003 <br />TO: HONORABLE MAYOR AND CITY COUNCIL MEMBERS <br />FROM: DILU DE ALWIS, FINANCE DIRECTOR <br />SUBJECT: AWARD OF PIGGY -BACK BID FOR TWO COMPACT PICK-UP TRUCKS FOR THE <br />WATER DEPARTMENT TO RACEWAY FORD IN THE AMOUNT OF $27,374.96 <br />DATE: JANUARY 13, 2003 <br />BACKGROUND <br />The City Council approved vehicles for various departments in the FY 02-03 budget. These vehicles include two compact <br />pick-up trucks for the Water Department. <br />On July 30, 2002, The City of Colton Purchasing Division solicited sealed bids for various vehicles including a compact <br />pick-up truck. The bid opening was held at 2:30 p.m., August 20, 2002, in the Purchasing office. Nine bids were received <br />and evaluated. The City of Colton City Council awarded the Bid to Raceway Ford for the purchase of a compact pick-up <br />truck at the Council meeting of September 3,2002. <br />DISCUSSION/ ANALYSIS <br />Section 3.08.100 of the City's Purchasing Ordinance allows the City to enter into agreements with agencies for the <br />purchase of supplies, services and equipment. In such instances, the procedures of the agency shall satisfy all city <br />requirements for the bid and award of those purchases. The City of Colton can piggyback onto the Bid awarded by The <br />City Council at the meeting of September 3, 2002, under this purchasing ordinance provision. This will save the City the <br />cost of the formal bid process and allow us to take advantage of the previous price offered to the City. <br />The vehicles proposed are incompliance with South Coast Air Quality Management District's Rule 1191, "Clean On -Road <br />Light and Medium Duty Public Fleet Vehicles". They meet the California Air Resources Board's certification for "Low <br />Emissions -Vehicles" (LEV). <br />ALTERNATIVES <br />Solicit sealed bids for these vehicles, however, the cost may well be higher. <br />FINANCIAL IMPACT <br />The funds are available in the FY 02-03 budget for the Water Department in the Water Department Automotive Capital <br />account number 521-8100-8101-4910. <br />ENVIRONMENTAL IMPACT <br />None <br />RECOMMENDATION <br />Staff recommends award of Piggy -back bid for two compact pick-up trucks for the Water Electric Department to Raceway <br />Ford in the amount of $27,374.96. <br />REVIEW TM ON <br />City Attorney: Finance Director: <br />City Manager: OTHER: <br />
