Item #12 <br />CITY OF COLTON <br />AGENDA REPORT <br />rum aA l i L UUNWL M=I1Nli OF MAY 1S. 2UU4 <br />TO: HONORABLE MAYOR AND CITY COUNCIL MEMBERS <br />FROM: DILU DE ALWIS, FINANCE DIRECTOR <br />SUBJECT: AWARD OF PURCHASE FOR 1 (ONE) 1 -TON PICK UP FOR THE FIRE <br />DEPARTMENT TO SUNRISE FORD IN THE AMOUNT NOT TO EXCEED $34,202.00. <br />DATE: MAY 10, 2004 <br />BACKGROUND <br />The United States Department of Homeland Security awarded the City of Colton Fire Department a grant through the San <br />Bernardino Department County Office of Emergency Services. At the Council meeting of January 20, 2004, the City <br />Council approved the acceptance of this grant and the Fire Department's proposed expenditures. One of the expenditures <br />proposed was to purchase 1(one) 1 -ton pickup truck to transport confined space and collapse rescue equipment. <br />DISCUSSION/ ANALYSIS <br />On April 22, 2004 the Central Services Division posted a notice inviting bids and mailed 7 bid packets for the purchase of <br />1 (one) 1 -ton pickup truck for the Fire Department. The bid opening was held in the Central Services Office on May 6, <br />2004.No bids were received. The City's Purchasing Ordinance section 3.08.120 "G" states in part "If no bids or proposals <br />are received, the authorized contracting party may award the contract by any alternative purchasing procedure" Staff <br />contacted 3 local vendors for quotes for the purchase of 1 (one) 1 -ton pickup per the City of Colton Specifications. 1 (one) <br />vendor responded. Sunrise Ford of Fontana submitted a quote in the amount not to exceed $34,202.00 for the purchase <br />of a 2005 Ford F-350 DRW XL 4 x 4. <br />ALTERNATIVES <br />None <br />FINANCIAL IMPACT <br />Funds are available for the purchase of the 2005 F-350 pickup in the Fire Department Capital Equipment account #100- <br />6090-6091-4930. <br />ENVIRONMENTAL IMPACT <br />None <br />CONFLICT OF INTEREST <br />Sunrise Ford of Fontana <br />President: Robert Bruncatti <br />Contact: Mike Gaiser, Fleet Manager <br />Report Prepared By: Nicole Mihld, Admin.
