Item #12
CITY OF COLTON
AGENDA REPORT
FOR COUNCIL Mtt I INU OF
TO:
Honorable Mayor and City Council Members
FROM:
Bill Smith — Community Services Director
SUBJECT: Request Approval for Recruitment and Ratification of Employee
Appointment to the Position of Senior Office Specialist in the
Community Services Department
DATE:
May 18, 2005
BACKGROUND:
Due to the recent retirement of its Executive Assistant, the Community Services Department does
not currently have any full-time office support staff. This position provides valuable support to the
department, handling daily administrative tasks, assisting the Director in all matters, and serving
as the Secretary for the Recreation & Parks Commission, among other duties. These
responsibilities are currently being absorbed by other department staff members, whose
schedules do not always support taking -on this additional workload.
DISCUSSION/ANALYSIS:
Staff feels that the duties of this position can be handled by hiring a Senior Office Specialist,
rather than an Executive Assistant. This strategy will save the City money, while not significantly
diminishing the quality or quantity of work from this staff member.
FINANCIAL IMPACT:
The Salary Range for the Senior Office Specialist Position is $2567-$3120. The Community
Services Department is currently budgeted for an Executive Assistant position, with a salary range
of $3348-$4069. So hiring this position will actually save the City approximately $15,000 per year.
ENVIRONMENTAL IMPACT:
None
CONFLICT OF INTEREST:
None
Staff recommends that City Council approve the request for recruitment and ratification of
employee appointment to the position of Senior Office Specialist in the Community Services
Department.
REVIEW TEAM ONLY
City Attorney: 4
City Manager: T4
Finance Director:
OTHER:
