CITY OF COLTON <br />Administrative Secretary (Continued) <br />and meets critical deadlines; directs, trains, and provides work <br />review for assigned office clerical support staff; reviews and <br />prepares time records for submission to payroll; prepares <br />requisitions, purchase orders and requests for payments. <br />QUALIFICATIONS <br />Knowledge of: <br />Standard office administrative and secretarial practices and <br />procedures, including business letter writing. Operation of <br />common office equipment, including a word processor and a <br />personal computer. Basic organization and function of public <br />agencies, including the role of an elected City Council and <br />appointed boards and commissions. Basic budgetary principles. <br />Record keeping, report preparation, and filing methods. Correct <br />English usage, including spelling, grammar, punctuation, and <br />vocabulary. Standard business arithmetic. Basic supervisory <br />principles and practices. <br />Ability to: <br />Provide varied, responsible, and often confidential secretarial <br />and office administrative assistance to top level management and <br />administrative staff. Use initiative and independent judgment <br />within establish guidelines. Use tact, discretion, and prudence <br />in establishing and maintaining effective working relationships <br />with those contacted in the course of the work. Analyze and <br />resolve office administrative situations and problems. Research, <br />compile and summarize a variety of informational materials. <br />Compose correspondence independently or from brief instructions. <br />Type at a rate of 50 net words per minute from printed copy. <br />Organize work, set priorities, meet critical deadlines, and <br />follow up on assignments with a minimum of direction. Plan, <br />assign and review the work of a small clerical support staff. <br />NOTE; <br />Specific positions may require ability to take dictation by hand <br />or stenographic machine at a rate of 80 words per minute and <br />transcribing it accurately. <br />Other Requirements: <br />Specific positions may require a valid California driver's <br />license and a satisfactory driving record. <br />A typical way of gaining knowledge and abilities outlined above <br />is: <br />Equivalent to graduation from high school and four years of <br />responsible secretarial or office administrative experience. <br />Business or secretarial school training and experience in <br />dealing with governmental, community and business representatives <br />are desirable. <br />APPROVED BY COUNCIL 3/20/90 <br />
