RAMOS, City Clerk <br />SUBJECT: Request Authorization to Replace Existing Copy Machines and Enter <br />Into New Lease Programs <br />BACKGROUND: <br />The Police Department and the City Clerk's Office in an effort to reduce its budget/Lease costs on Xerox copy <br />machines, has looked into replacement of existing equipment and entering into new leases at lower lease rates. <br />DISCUSSION: <br />The Police Department currently has a Xerox Model 1090 which it proposes to replace with a Xerox Model <br />5385. The department also wants to trade-in an old Adler copier, which is in very poor condition and replace <br />it with a Xerox 5322. <br />The City Clerk's Office which is responsible for the operation and maintenance of the City Hall copiers, <br />currently has a Xerox Model 1090 which it proposes to replace with a Xerox Model 5385. <br />Following are comparisons of last year's costs and the lease costs on the new machines: <br />1993-94 Fiscal. Year Costs New Lease Costs <br />Police 1090 - $1, 657.09 New Lease 5385 - $11211.60 <br />New Lease 5322 - $ 153.52 <br />This would be a lease savings of $291.97 per month and a 1994-95 FY savings of $3,211.67. <br />City Clerk 1090 - $2,312.34 New Lease 5385 - $1, 211.60 <br />This would be a lease savings of $1,101.74 per month and a 1994-95 FY savings of $11,017.40. <br />1 <br />,p%,,, oxo, 'al <br />
