"".0-1FD <br />STAFF REPORT <br />DATE: JUNE 15, 2010 <br />ITEM NO. 08 <br />TO: HONORABLE MAYOR AND CITY COUNCIL <br />FROM: ROD FOSTER, CITY MANAGER/GENERAL MANAGE <br />PREPARED BY: JAMES EARHART, INTERIM DIRECTOR OF UTILITY SERVICE <br />•R <br />SUBJECT: AWARD OF BID FOR ANNUAL PURCHASE OF MEDIUI <br />VOLTAGE PAD MOUNTED SWITCHGEAR FOR THE ELECTRI <br />DEPARTMENT <br />RECOMMENDED ACTION <br />It is recommended that City Council award the Bid for the Annual Purchase of Medium Voltage <br />Pad Mount Switchgear, Bid Items 1, 2, and 6, to Electro -Mechanical Corporation, dba Federal <br />Pacific, for a minimum amount of $29,214.60, up to a maximum amount of $58,429.20 for a <br />twelve-month period; and award Bid Items 3, 4, and 5 to H D Supply for a minimum amount of <br />$113,647.34, up to a maximum amount of $176,476.50, for a twelve month period. <br />GOAL STATEMENT <br />The proposed action will support the City's goal to provide safe, reliable, affordable, and <br />environmentally sustainable electric service. <br />BACKGROUND <br />The City purchases various size of medium voltage pad mounted switchgear into the Electric <br />Stores Inventory for use by the Electric Utility on an "as required" basis. When inventory levels <br />reach predetermined review points, or when special projects arise, switchgear is reordered based <br />on projected usage as determined by the City's Electric Utility Systems Designer. Staff regularly <br />reviews the previously established minimum and maximum quantities to ensure efficiency and <br />reliability in the electric system. <br />On April 5, 2010, staff issued a Notice Inviting Bids for the Annual Purchase of Various Size <br />Medium Voltage Pad Mounted Switchgear, NIB -RG -1005. The Notice Inviting bids and related <br />bid documents were distributed through BidNet, the City's online bid system. Forty-nine vendors <br />were notified of the bid opportunity through BidNet. The Notice Inviting Bids was also posted at <br />City Hall. A public bid opening was held at 10:00 A.M., on April 20, 2010, at the Electric <br />Department Administrative Offices. Four bids were received. <br />
