CITY OF COLTON Item #10 AGENDA REPORT For City Council Meeting of May 21, 2002 TO: Honorable Mayor and Members of the City Council FROM: Dilu deAlwis, Finance Director Uk- SUBJECT: Approval to purchase servers from Dell Computer and Oracle software from DLT Solutions for the work order management system DATE: May 13, 2002 BACKGROUND On April 16, 2002, the City Council awarded a contract to Synergen, Inc. for the purchase and implementation of a computerized work order management system. Before installation can take place, the purchase of additional servers and Oracle database software is required. DISCUSSION/ANALYSIS The additional servers will be dedicated to the work order management system application, thus ensuring reliability and integrity in the event that the network goes down. The servers will be purchased from Dell Computer Company in accordance with City standardization of computer systems. Currently, the work order system runs on the Oracle database platform, so purchase of this software is required. Colton Municipal Code Section 3.08.140 (c) allows the City to waive competitive bidding when it is determined that the public interest would not be best served by competitive bidding. Staff believes the public interest would not be best served because the City would not be able to obtain the same discounted price from any other Oracle software dealer. The Oracle software being purchased from DLT Solutions through Oracle Corporation gives the City a 50% discount. ALTERNATIVES None. FINANCIAL IMPACT The cost of the two additional servers from Dell Computer is $11,648.00 each; with tax, the amount is $25,101.44. The cost of the Oracle database is $23,004.63, and will be purchased from DLT Solutions through Oracle. The funds for this purchase is available in the Electric, Water, and Wastewater enterprise fund account number 520 -8000 -8001 -4900 -000,521-8100-8100-4900-0000-000,522-8200-8200-4900-0000-000.
