Item #11 <br />CITY OF COLTON <br />AGENDA REPORT <br />FOR COUNCIL MEETING OF August 7, 2001 <br />TO: Honorable Mayor and City Council <br />FROM: Al Holliman, Assistant City Manage <br />SUBJECT: Consider and Approve Reclassification of Administrative Secretary Position to <br />Administrative Assistant <br />DATE: July 30, 2001 <br />BACKGROUND: <br />This reclassification was requested as part of the City-wide reorganization and a separate <br />reclassification study resulting from an employee request. The study has resulted in a proposed title <br />change for the position of Administrative Secretary, changing it to Administrative Assistant with a <br />5% increase to the salary range. This request has been reviewed by the Assistant City Manager and <br />approved by the City Manager. <br />DISCUSSION/ANALYSIS: <br />The reclassification/re-titling affects seven employees. The classification of Administrative <br />Secretary will be eliminated. The office work environment has changed significantly over the past <br />5-10 years as a result of technology. The duties typically afforded to secretarial positions consisted <br />of preparing documents on a typewriter, taking shorthand, maintaining several meeting calendars, <br />etc. These historical duties have radically changed due to the use of computers and the Microsoft <br />Office products. Many previous secretarial positions now include spreadsheet capabilities and <br />other expensive computer applications. As a result, there is an emerging trend in the workplace to <br />move away from secretarial titles with pay rates more reflecting the greater skill requirements. The <br />Administrative Secretary salary range was $2,384 to $2,897 per month. The new range for <br />Administrative Assistant (5% variance) is $2,503 to $3,042 per month. <br />FINANCIAL IMPACT: <br />$ 1,875 PR&FS Department Budget, $1,740 in Account Number 100-6200-6200-1010 for <br />salary and $135 in Account Number 100-6200-6200-1100 for salary related benefits <br />$ 1,875 Fire Department Budget, $1,740 in Account Number 100-6090-6091-1010 for <br />salary and $135 in Account Number 100-6090-6091-1100 for salary related benefits <br />$ 1,875 Community Development Department Budget, $1,740 in Account Number 100- <br />6300-6301-1010 for salary and $135 in Account Number 100-6300-6301-1100 for <br />salary related benefits <br />Item #11 <br />Agenda adm sect' 080701.do <br />
