CITY OF COLTON <br />AGENDA REPORT <br />For Council Meeting of April 1, 1997 <br />TO: Honorable Mayor and City Council <br />APPROVAL: Malik Freeman, City Manager <br />FROM: David Michael Davis, City Librarian '40 <br />SUBJECT: Authorization to Upgrade the Library Automated Book Check Out System and Services <br />with Dynix Automated Systems (Sole Source) Utilizing California State Library Grant <br />Funds in the Amount of Approximately $38,625 <br />DATE: March 18, 1997 <br />BACKGROUND <br />Every year the Colton Public Library receives revenue from the California State Library Grant Fund. <br />The library will receive $30,322 during FY 96/97. These grant funds are utilized to maintain and <br />upgrade the library's automated book check out system and services. This year, the Main and Luque <br />Branch libraries will upgrade the central site hardware and software modules in addition to the Dynix <br />Automated System and Services Contract document awarded by the Colton City Council on June 25, <br />1992. The hardware and software modules area sole source item and interface with the library's current <br />Dynix automation system. <br />STATEMENT OF THE PROBLEM <br />The Colton Public Library recognizes that a need existu to maintain and upgrade its current automated <br />book check out system. By incorporating new ;ventral site hardware and software modules, library <br />customers will have faster access to the library's holdings of books and materials and the library will be <br />able to add additional public computer terminals and future Internet access as well. This will provide the <br />citizens of Colton with the efficient and up-to-date library services they deserve. <br />ALTERNATIVES <br />Without grant funding, the library's automated book check out system and services could only otherwise <br />be maintained with City general fund monies. <br />FINANCIAL IMPACT <br />The $3 8,625 expenditure request for upgrade of the library's automated book check out system and <br />services is entirely funded with California State Library Grant Funds. Approximately $26,000 will be <br />charged to the FY 96/97 State Grant Fund Account (The $26,000 grant has already been received by the <br />City). The balance of approximately $12,625 will be charged to the FY 97/98 State Grant Fund Account <br />as the project will commence on June 1 and be completed by July 31, 1997. <br />Page 1 of 2 <br />David Michael Davis, City Librarian <br />Item NO. 15 <br />
