ITEM #5 <br />CITY OF COLTON <br />AGENDA REPORT <br />FOR COUNCIL MEETING OF JUNE 2, 2009 <br />TO: HONORABLE MAYOR AND CITY COUNCIL <br />FROM: MARITZA TAPIA, INTERIM PUBLIC WORKS DIRECTOR <br />SUBJECT: APPROVE CHANGE ORDER NO. 1 AND AUTHORIZE <br />RECORDATION OF A NOTICE OF COMPLETION FOR THE <br />MCKINLEY PARK IMPROVEMENT PROJECT AND PRADO PARK <br />IMPROVEMENT PROJECT <br />DATE: MAY 21, 2009 <br />BACKGROUND: <br />The McKinley Park Improvement Project and Prado Park Improvement Project are listed in the <br />Fiscal Year 2008/2009 Capital Improvement Program. The scope of the McKinley Park <br />Improvement Project included: relocation of the parking area to the north side of the park, <br />installation of new safety surface mat for playground area, and installation of walkways connecting <br />the entrance of the park to the four tee -ball fields. The Prado Park Improvement Project scope of <br />work included installation of the following amenities: playground equipment, safety surfacing mat, <br />concrete walkways, 18' Gazebo, new park signage, barbeques, and two (2) picnic tables with <br />concrete pads. <br />DISCUSSION/ANALYSIS: <br />Staff bid the McKinley Park Improvement Project and Prado Park Improvement Project in <br />accordance with the bidding procedures for public projects established by section 3.08.090 of the <br />purchasing ordinance. International Pavement Solutions was the lowest responsive bidder, with a <br />submitted bid amount of $216,904.90. On July 15, 2008, the City Council authorized the award of a <br />construction contract for the McKinley Park Improvement Project and Prado Park Improvement <br />Project to International Pavement Solutions. A `Notice to Proceed' for the project was issued on <br />October 16, 2008. <br />During the construction of the identified improvements it was necessary to complete the following <br />added work: 1) additional safety surfacing materials 2) installation of a trash enclosure 3) additional <br />asphalt materials. Staff recommends approval of the attached change order, Exhibit C, in the <br />amount of $17,055.47 (7.86% of awarded contract). International Pavement Solutions completed <br />the project satisfactorily as specified on contract documents, plans and specification as of April 13, <br />2009. Staff requests authorization to file and record the Notice of Completion for the McKinley <br />Park Improvement Project and Prado Park Improvement Project; attached as Exhibit A and Exhibit <br />B. <br />
