ADMINISTRATIVE ASSISTANT <br />Page 4 of 4 <br />CITY OF COLTON <br />Ability to: <br />General Administrative Assistant Responsibilities (applicable to all Administrative <br />Assistants <br />Provide varied, responsible, and often confidential secretarial and office administrative <br />assistance to top-level management and administrative staff. <br />Use initiative and independent judgment within established guidelines. <br />Analyze and resolve office administrative situations and problems. <br />Research, compile and summarize a variety of informational materials. <br />Compose correspondence independently or from brief instructions. <br />Organize work, set priorities, meet critical deadlines, and follow up on assignments with <br />a minimum of direction. <br />Establish and maintain effective working relationships; communicate clearly and <br />courteously with the City's internal and external customers. <br />Plan, assign and review the work of assigned staff. <br />Perform administrative activities related to complex and/or confidential documents. <br />Work independently in the absence of direct supervision <br />City Clerk's Office Administrative Assistant Responsibilities <br />Operate or learn to operate Questys Scanning Station, Paragon Postage machine, <br />inserter/folder and other binding equipment. <br />Communicate with Spanish-speaking customers. <br />Operate a vehicle on City streets. <br />Federal laws regarding Passport application. <br />Skill to: <br />Type at a rate of 50 net words per minute from printed copy. <br />Operate computer and applicable software <br />Some positions may require the ability to take dictation at a rate of 80 words per minute <br />or from a Dictaphone and transcribe it to finished copy. <br />Approved By Council: July 16, 2002 <br />
