CITY OF COLTON <br />SENIOR OFFICE SPECIALIST <br />DEFINITION: <br />Under the general supervision from management, professional, technical or higher level clerical <br />supervisory personnel, performs a wide variety of highly complex clerical duties. <br />DISTINGUISHING CHARACTERISTICS: <br />The Senior Office Specialist is the advanced journey level class within the Office Specialist <br />series and is responsible for performing the most complex clerical activities. This classification <br />is distinguished from the next lower classification of Office Specialist II by the performance of <br />the most complex activities requiring a full understanding of departmental operating procedures <br />for the assigned area and the level of independence for function. <br />SUPERVISION EXERCISED: <br />May exercise functional or technical supervision over lower level clerical classes. <br />ESSENTIAL FUNCTIONS: (include but are not limited to the following) <br />• Composes letters and reports on routine matters. <br />• Screens phone calls and visitors and refers inquires as appropriate; responds to requests for <br />information regarding departmental policies and procedures. <br />• Relieves the department head or supervisor of routine personnel, budget, payroll, and <br />purchasing duties. <br />• Compiles statistical data for special projects and reports. <br />• Enters complex computer data and retrieves data for reports and projects. <br />• Types reports, forms, memoranda, and agenda reports, and other materials from straight <br />copy. <br />• Maintains files of confidential material. <br />• Check reports, records and other data for accuracy, completeness, and compliance with <br />established procedures and standards. <br />• May assist in compiling annual budget request information. <br />• May make appointments and arrange travel, conferences, and meetings; maintains calendar <br />and personnel records; and sorts and posts all incoming and outgoing mail. <br />• Responds to questions and concerns from the public by telephone and over the counter. <br />• Performs a wide variety of customer service supports including order processing, cashiering, <br />and record keeping clerical activities. <br />• Prepares and maintains a variety of reports, files and financial information of assigned <br />duties. <br />• Performs other related duties as required. <br />WORKING CONDITIONS: <br />Position requires prolonged sitting, standing, walking, reaching, twisting, turning, kneeling, <br />bending, squatting, and stooping in the performance of daily activities.
