Xerox has provided a packet of information materials for your review <br />ENVIRONMENTAL IMPACT: <br />The equipment offered by Xerox complies with the EPA Energy Star guidelines for energy <br />efficiency, lower emissions and environmental safety. <br />FISCAL IMPACT: <br />The City Clerk's Office has sufficient funds budgeted for the lease agreement of the <br />WorkCentrePro 90. Xerox has agreed to accept the DC480 as trade-in, valued at $5,450. <br />Xerox's proposal is for a 60 -month lease of the copier/network/scanner/internet fax and Email <br />at $1621.57 per month. The price per year is $19,458.84 and this amount is below the budget <br />limit. In comparing the present program with the new proposal, the City will realize savings in <br />the amount of $357.95 a month and $4,295.40 a year. In this offer, copies of prints over <br />50,000 copies will be billed at $.0060 a figure that is less than the present lease agreement and <br />this includes cost of service and supplies. Also included in this price are the print management <br />software; availability of 24-hour analyst support (technical); training sessions for all users from <br />the walk-up function to desktop printing/scanning. <br />RECOMMENDATION: <br />Staff recommends approval of a new 60 -month lease for a WorkCentrePro 90 Digital Multi - <br />Functional Copier, in the amount of $1621.57 per month. <br />Attachment: Booklet <br />
