ITEM #15 <br />CITY OF COLTON <br />AGENDA REPORT <br />FOR THE CITY COUNCIL MEETING OF MARCH 20, 2007 <br />TO: HONORABLE MAYOR AND CITY COUNCIL MEMBERS <br />FROM: AMER JAKHER, P.E., PW DIRECTOR/CITY ENGINEER <br />SUBJECT: AUTHORIZE SUBMITTAL AND FILING OF A NOTICE OF <br />COMPLETION FOR THE PD HVAC REPLACEMENT <br />PROJECT. <br />DATE: MARCH 8, 2007 <br />BACKGROUND: <br />On June 7, 2005, the City Council authorized awarding the construction agreement for the P.D. <br />HVAC Replacement Project to Pardess Air, Inc. in the amount of $180,000. Thereafter, two <br />change orders have been taken before Council for approval. On December 20, 2005, Council <br />approved change order number one, which totaled $55,615.00. Change order number one furnished <br />and installed three additional HVAC units for the PD Gym; two of these units were 7.5 ton units <br />and one was a two ton unit. A second change order was approved by Council action on April 17, <br />2006 for furnishing and installing a four -ton heat pump for the PD Conference Room and extending <br />the Energy Management System (EMS) to PD's mini -gym; the total amount of change order <br />number two was $28,050. <br />ANALYSIS/DISCUSSION: <br />A third and final change order was needed to complete repairs to the existing exhaust fans, <br />electrical connections and variable temperature system. In addition, the condensation drains for the <br />HVAC units were installed above the roof due to accessibility problems, rather than inside the <br />ceiling as was stated in the agreement. Therefore, Change Order No. 3 will also reflect a $1,000 <br />decrease from the awarded compensation. The net change reflected in Change Order No. 3, <br />attached as Exhibit A, is $4,934.47. Approval of Change Order No. 3 will bring the total <br />compensation of the corresponding agreement to $268,599.47. <br />The inspection and air balance test were conducted in the presence of the City -hired consultant <br />Leonard Engineering, LLC and the results were satisfactory. The contractor has provided a short <br />training for the City's maintenance crew regarding operation and repair of the HVAC units and the <br />control system. As -built drawings and operation manuals have been provided to the City depicting <br />the new HVAC System. The HVAC Replacement Project has been completed satisfactorily by the <br />contractor; staff requests authorization to file a notice of completion for this project. <br />
