WJ,'1,)k0S AIANAGER (TUN O <br />e <br />Records Management Responsibilities <br />• Direct the retention and destruction of official records in accordance with applicable laws <br />and regulations. <br />• Administer the City's computerized and manual records management programs; coordinate <br />and supervise the records storage system in compliance with legal and policy requirements <br />for records retention and destruction. <br />Election Responsibilities <br />• Serve as the elections official to supervise, coordinate and conduct municipal elections; aid <br />the public with county and school district elections; train election staff, order and maintain <br />election supplies and equipment. <br />• Manage the receipt and processing of petitions related to initiatives, recalls and <br />referendums. <br />• Coordinate and conduct voter registration, voter registration outreach and election <br />education programs. <br />• Act as filing officer for local election campaigns. <br />• Prepare election budgets. <br />Other Responsibilities <br />• Perform statutory duties related to annexation proceedings. <br />• Manage reprographic/scanning and mail services. <br />• Provide notary public services for City instruments and City business. <br />• Oversee the revenue and operation of the Passport Acceptance Facility. <br />• Serve as City archivist/historian. <br />• Propose, present and justify programs, projects, operations and services related to the <br />responsibilities of the Records Management Division and the duties described herein; <br />develop a strategy and work plan for achievement of approved programs, projects, <br />operations and services. <br />• Attend and participate in organizational and community meetings as necessary. <br />• Stay current on issues related to records management and elections. <br />• Select, train, motivate and evaluate subordinate staff members; provide and ordinate staff <br />training; work with subordinate staff members to correct deficiencies; implement discipline <br />and termination procedures. <br />• Perform any other tasks or functions deemed necessary by the City Manager to support <br />the daily operations of the City. <br />WORKING CONDITIONS: <br />Position requires prolonged sitting, standing, walking, reaching, twisting, turning, kneeling, bending, <br />squatting, and stooping in the performance of daily activities. The position also requires grasping, <br />repetitive hand movement and fine coordination in preparing reports using a computer keyboard. <br />Additionally, the position requires near and far vision in reading written reports and work-related <br />documents. Acute hearing is required when providing phone and counter service. The incumbent <br />also must be available to be called for local emergencies, attend night meetings, work irregular or <br />extended hours to attend various meetings, and work with constant interruptions. Occasional lifting, <br />up to 25 pounds, may be required to move items such as files, stacks of papers or reference books. <br />
