CITY OF COLTON <br />EXECUTIVE SECRETARY <br />DEFINITION: <br />To perform a variety of highly responsible secretarial and administrative duties for the City <br />Manager within the City. <br />DISTINGUISHING CHARACTERISTICS: <br />This class is distinguished from the Administrative Secretary class by the more complex, <br />responsible and sensitive duties related to providing administrative and secretarial support to the <br />City Manager, in addition to the Redevelopment Manager and City Attorney. <br />SUPERVISION RECEIVED AND EXERCISED: <br />General supervision is provided by the City Manager. <br />May exercise functional and technical supervision over lower level clerical staff. <br />EXAMPLES OF DUTIES: Duties may include, but are not limited to the following: <br />Perform a wide variety of complex, responsible and confidential duties for the administrator <br />Screen calls, visitors and mail. <br />Interpret City policies, rules and regulations in response to inquiries and complaints; refer <br />inquiries as appropriate. <br />Independently respond to letters and general correspondence; compose correspondence and <br />reports. <br />Make travel arrangements, maintain appointment schedules and calendars and arrange meetings, <br />conferences and civic functions. <br />Inform City Manager of pertinent legislation, news events and other related matters. <br />Take and transcribe oral dictation from shorthand notes or dictating machine; operate office <br />equipment. <br />Type and assemble reports, manuals, newsletters and other materials and distribute to staff. <br />Write and prepare reports and various materials for Council meetings. <br />Prepare preliminary budget; process Request for Payments; and monitor budgets. <br />Type agreements, contracts, ordinances, resolutions, legal documents, MOU's, Skelly letters and <br />reports. <br />
